Buying air conditioning for an office is a ten-to-fifteen-year decision dressed up as a purchase order. The unit price on the quotation is typically only 40% of lifetime cost — the rest is electricity and maintenance, both of which are decided by choices made before installation. 1. Size from a heat-load calculation, not floor area
The ‘one HP per X square metres’ rule of thumb produces systems that are wrong in both directions. Glazing orientation, occupancy, equipment load and Nairobi’s altitude all shift the real requirement. Oversized units short-cycle, dehumidify poorly and wear out compressors; undersized units run flat out and never hit setpoint. Insist on a written heat-load calculation with the quotation.
2. Choose inverter technology
Inverter compressors modulate to match the actual load instead of stopping and starting. 3. Buy brands with local parts and service depth

Ask the installer to confirm parts availability and warranty terms in writing — manufacturer warranties are routinely voided by non-authorised installation.
4. Scrutinise the installer, not just the equipment

Check NCA registration, ask for reference sites of similar scale, and confirm the commissioning process includes documented pressure testing, evacuation and performance measurement.
5. Contract the maintenance on day one
A planned maintenance agreement — quarterly for most offices — protects the warranty, holds efficiency at commissioned levels and converts breakdowns from emergencies into scheduled work. It is also when small refrigerant leaks and electrical drift are caught before they become compressor replacements.
